Variables Overview
Variables in Authorium let you reuse information across your project—automatically pulling data from forms, documents, or calculations so you don’t have to re-enter it. They help keep information consistent, save time, and reduce errors.
This guide explains what variables are, why they are useful, and how they can be applied within your projects.
What are Variables?
Variables act as placeholders for information that can be reused throughout your project. Instead of entering the same value multiple times, you define it once and reference it wherever needed.
Common uses include:
- Tracking costs per unit
- Managing expected timelines
- Sharing evaluation results across forms or documents
There are two main ways to define variables:
- System Variables: Automatically provided by Authorium (e.g., project name, creation date).
- Custom Variables: Defined by you, pulling data from forms, documents, or calculations. -Mapped Variable: Variables that are tired from earlier stages in a project to autopopulate in later stages.
Variables can be used in forms, documents, and calculations within your project. If you make use of user components in your form, you can also use them for stage based ownership and Multi-Step approvals.
Why use Variables?
Using variables allows your organization to:
- Ensure consistency: Keep data aligned across multiple forms and documents.
- Save time: Avoid repetitive data entry by reusing values automatically.
- Improve accuracy: Reduce the risk of manual errors when copying information.
- Add flexibility: Define project-specific values (like assumptions or thresholds) and reuse them wherever needed.
