Work on Template Changes Without Impacting Live Users
This guide explains how to safely edit a project template without affecting active users or ongoing projects. While there is no formal "draft" status for templates yet, you can create a copy of an existing template and work on it until it’s ready to be published.
When to Work on a Draft
You should work on a draft version of a template when you need to:
- Update workflows, ownership blocks, or forms without disrupting active projects.
- Share an in-progress version with team members for review or testing.
- Prepare significant changes while keeping the current template available for production use.
To Edit a Template Safely
- Create a new template by copying the current version.
- Make and test your changes in this separate version.
- Validate the new version to ensure everything works as expected.
- Publish the updated version for future projects.
- Optionally, archive the original template to avoid confusion.
Note
Edits to templates do not affect projects that have already been created from them. Any changes only apply to new projects started after the template is updated.
Caution
Avoid making direct changes to templates that are already in use by live projects. This helps maintain data integrity and prevents disruptions.
To Share a Template in Progress
If you need feedback from other users:
- Share access to the Work in Progress template, or
- Export the template as JSON and have collaborators import it into their own environment for review.
