Project Templates Overview

Project Templates standardize how new projects are set up across your organization. They ensure every team starts with the right structure—saving time and reducing errors. This guide explains what Project Templates are, how they support your workflows, and why they’re valuable in your project lifecycle.

What are Project Templates?

Project Templates are predefined structures that determine what a new project includes. Each template can define:

  • Required documents and folders
  • Standard forms and questionnaires
  • Workflow stages and status transitions
  • Pre-configured rules, assignments, and permissions Templates are created and managed by administrators and serve as the foundation for all new projects of a specific type.

Why use Project Templates?

Using Project Templates allows your organization to:

  • Standardize project setup: Ensure consistency across teams and departments.
  • Save time: Eliminate repetitive configuration for each new project.
  • Reduce errors: Minimize risks by ensuring no critical documents, forms, or workflow steps are missed.
  • Enforce compliance: Apply internal policies and best practices automatically. Templates help onboard new team members by providing a clear, standardized starting point.

When are templates applied?

Templates are applied when a new project is created. Based on the selected Project Type, a specific template is used to populate the initial structure. The project then follows that predefined configuration from day one.

Note

Project Templates only affect new projects. Changes to a template don’t automatically update existing projects—this ensures stability for ongoing work.

Who can manage templates?

Template management is limited to users with administrative roles. These users can create, edit, test, and publish templates based on the organization’s needs. If you do not see template management options, contact your system administrator to request the appropriate permissions.
